motel policies

BOOKING CONFIRMATIONS

The Palms Motel Dubbo accepts all major credit cards with 2.5% charge (incl. Amex) and also has EFTPOS facilities available. Bookings without a current and valid number cannot not be deemed to be confirmed and hence subject to cancellation. EFTPOS or CASH payments or cards failing precharge are subject to a refundable deposit ($100) should a valid ‘credit card’ not be supplied for security. Reservations are charged at time of booking, then subject to our cancellation policy as detailed below. We reserve the right to place a copy of your drivers license against your reservation for identification purposes and confirmation you actually stayed with us. Person information is maintained in our secure reservation system and not accessible by any except in connection with your reservation.

BEDDING POLICY / RATES

Child Policy:
Please note: Your booking will be confirmed for the number of guests listed on your reservation ONLY, including Adults, Children, infants, babies.

Please be advised our rooms are set at maximum occupancy.

If your occupancy is going to be higher than what’s on your reservation, you need to contact us immediately otherwise there is a risk your booking will be cancelled at check-in.

We have a child-free policy in all Queen, King rooms with 1 bed. If the number of guests is greater than 2, a larger room Queen/Twin or King/Twin will be required

Each advertised base rate is for 2 people in 1 bed. Each additional people or bed used is charged at the rate of $20 per person or bed used. We do not allow people to sleep on floor or bring portable beds. If not sleeping in bed, extra person charged at $20 each

Early check-in from 12pm midday to 2pm is available for a AU $20 fee.
Late check-out from 10:00am to 11:30am is available for a AU $50 fee.

Late arrival from 8:00pm to 12am is available for a AU $50 fee.
Both early check-in, late check-out’s and Late checkin are subject to availability.

EXCESSIVELY DIRTY ROOMS

You agree to maintain their rooms in a reasonable state of tidiness and cleanliness. This assists our housekeepers to clean the room as required, either service or departure. Guests agree also that they will not eat food on the bedcovers or leave them or the room in a state where we need to have them professionally cleaned or excessive time expended by housekeeping; In such a situation the motel reserves it right and the guests agrees that the motel can charge the guest for such cleaning as neccessary.

SPA ROOMS

It is a condition of entry into our spa rooms that they be child free. If you arrive with children or children are found in your room, you will be downgraded to a King Deluxe or first available room. This is a non-negotiable condition of entry.

ROOM KEY CARDS

Guests are requested to return room keys to the reception upon departure or place in the external keybox. Room keys not returned are charged to guest form of payment at the rate of $25 per keycard.

NON-SMOKING

In the event of any physical evidence, or residual odour, which indicates that smoking of any form has taken place inside a guest room or in any area of the motel with the exception of the smoking area (NSW Smoking Act 2011), a charge of $400 will be made against the credit card that was provided to the motel at the time of making the booking and/or at the time of checking in. This charge will cover the cost of steam cleaning the carpet and other soft furnishings, and of laundering all bedding and outside area cleaning.

QUIET ENJOYMENT POLICY

In the interests of quiet enjoyment and respect for all guests at the motel, a no party policy applies to all guests staying at the property Guests are expected to be respectful of other guests at all times, and to be quiet between 10pm and 7am. Immediate eviction with no refund applies to any breaches of this policy. Similarly any guest found attempting to conduct any form of business, personal services or otherwise without management permission will be deemed to be in breach and immediately expelled without refund of monies paid.

ANIMALS

Animals in vehicles may only be permitted by prior specific arrangement. With the exception of Sight and Hearing assistance dogs, all animals are strictly forbidden inside guest rooms. Any guests breaching this rule will face immediate eviction and a $200 cleaning fee for carpet and any soft furnishings effected.

COOKING

Cooking in guest rooms is strictly forbidden by Health Authorities with the exception of the use of the kettle, toaster and microwave provided. A complimentary guest BBQ is provided for guests wishing to cook a meal. See reception for cooking utensils, crockery and cutlery. Fees for additional cleaning may apply should guests cook inside a guest room.

LAUNDRY

Laundry is charged at $10 a load/bag provided and is charged to your form of payment at time of leaving with us.

PROPERTY DAMAGE

Management reserves the right to enter a guest room if they are concerned about any matter or that damage has or may occur in a guest room. Any damage to motel property, whether accidental or wilful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued. Property damage included excessively dirty room and/or furnishings that require external services to clean.

Similarly, any items that belong to the motel in rooms that are found to have disappeared from the room at checkout, will be charged to guest form of payment.

OHS

Occupational Health and Safety laws make it an offence to reverse park against a room door entrance. Similar to our condition on smoking, we will charge a fee if the guest chooses to ignore this which is also a condition of entry.

RELEASES AND INDEMNITY

Any monies or other valuables, goods or vehicles that belong to you, brought in or on to the room, grounds or car park remain your responsibility and we are not responsible for their safekeeping.

To the extent permitted by law, you agree to release and hold harmless The Palms Dubbo and its current and former officers, employees and agents against and from all expenses, costs, liabilities, claims, actions, proceedings, damages, judgments and losses of any kind whatsoever (including consequential and economic losses, property loss/damage and damage for injury, including personal injury and death) arising out of, caused by, attributable to or resulting from your reservation, your stay  or your attendance at any event at The Palms Dubbo for any reason whatsoever.

You agree to indemnify The Palms Dubbo and its current and former officers, employees and agents for all expenses, costs, liabilities, claims, actions, proceedings, damages, judgments and losses of any kind whatsoever (including consequential and economic losses, property loss/damage and damage for injury, including personal injury and death) incurred or suffered by The Palms Dubbo or its current or former officers, employees or agents arising out of, caused by, attributable to, or resulting from your reservation, your stay, or your attendance at any event The Palms Dubbo.

You agree that regardless of your length of stay at The Palms Dubbo there is no tenancy, or any other proprietary rights created under any laws.

We grant you a license to stay in our hotel and we reserve the right to terminate the license at any time.

MANAGEMENT DISCRETION

Management is entitled to exercise discretion and either revoke a booking or resell a room in the following instances:

  • If a guest arrives to check-in or at any time is found to be an intoxicated or disruptive state or smoking in an area not designated for smoking.
  • Has not confirmed the booking and provided a valid credit card number NOT debit card within 24 hours of check in Group Bookings will be accepted at the discretion of the managers after an assessment has been made as to any likely disruption to other guests.
  • Management also reserves its right to exercise it s discretion to refuse a reservation request or enter a guest room without specifying a reason.

PAYMENT
We required a valid CREDIT CARD for payment and check-in. Debit cards can used for payment but a credit card is required for room security. We reserve the right to cancel your booking at any time if a valid credit card isn’t supplied.

SECURITY BONDS
All guests are required to lodge a security bond of $250 per room by credit card tap on arrival.  Local bookings (and any guests) within a 60km radius of Dubbo are required to lodge a $400 bond at check-in. Subject to any damage, excessive cleaning (marks on furniture or bedcovers), broken items found and extra beds used over what was paid for in rooms with extra beds your bond will be refunded on inspection.

CANCELLATION POLICY

At the time of making a reservation, all guests will be required to provide a current and valid credit card number NOT debit card to confirm and secure the reservation. Our 48-hour cancellation policy applies to all bookings.  Cancellations or changes on the day of arrival will result in the full amount of the booking being charged to the guest credit card.  Credit Card charges are not refundabe in the event of cancellation. Failure to read our terms and conditions, including our Covid on entry, will not be anacceptable reason for a full refund.  During high demand times such as school holidays, special events such as sports competitions, Easter and Christmas, reservations are taken on a non-refund basis. 

Longer cancellation periods (2 weeks) and non-refunds apply for peak periods and these policies are applicable . Group bookings have extended cancellation policies, including a valid credit card and payment in full no less than 2 weeks before. High demand times such as special events (sporting etc.) and long weekends require payment in full at reservation time and are non-refundable.  Date movements are permitted subject to motel discretion.
